LDC RULES
INCORRECT ADDRESS
Description: Must enter the correct Street Number, Street Name, Street Suffix, and Unit Number (if applicable) as it appears in the Tax Records.
Associated notices and fines:
- Notice to correct listing sent to agent
- If not corrected within 3 days, $25 fine sent to listing broker
- If not corrected within an additional 3 days, listing is taken off the market by staff
LATE LISTING INPUT
Description: Must submit a listing as Active within 2 days of the List Effective Date. This is a repeat offender rule which means that it tracks how often this rule is violated per agent. Fines associated with repeat offender violations will increase with each rule violation.
Associated notices and fines:
- 1st Offense: courtesy notice
- 2nd Offense: $25 fine to the listing broker
- 3rd Offense: $75 fine to the listing broker
- 4th Offense: $250 fine to the listing broker, and offending agent and broker must attend the next MLS Orientation
DUPLICATE LISTING CHECK
Description: If a listing already exists for sale in Matrix that is in Active, Contingent, Pending, or Temp Off Market status, the system will prohibit the same listing from being added to market as an active listing.

OFFICE/AGENT INFO IN PUBLIC REMARKS & DIRECTIONS
Description: Any agent-specific or office specific branding or contact info is prohibited in all public-facing fields including, but not limited to, public remarks, directions, unbranded virtual tours, etc. This is a repeat offender rule which means that it tracks how often this rule is violated per agent. Fines associated with repeat offender violations will increase with each rule violation.
Associated notices and fines:
- 1st Offense: courtesy notice and staff will withdraw branded content
- 2nd Offense: $25 fine to the listing broker and staff will withdraw branded content
- 3rd Offense: $75 fine to the listing broker and staff will withdraw branded content
- 4th Offense: $250 fine to the listing broker and staff will withdraw branded content; offending agent and broker must attend the next MLS Orientation
LISTINGS PENDING OVER 4 MONTHS
Description: If a listing has been in pending status for longer than 4 months, the listing agent will receive a courtesy notice.
Associated notices and fines: No associated fines, but a courtesy notice will be sent to take action if appropriate.
FAILURE TO SUBMIT PRIMARY PHOTO
Description: A primary photo must be added to a listing within 3 days of being added to Matrix. This is a repeat offender rule which means that it tracks how often this rule is violated per agent. Fines associated with repeat offender violations will increase with each rule violation.
Associated notices and fines:
- 1st Offense: courtesy notice and withdraw of listing after 3 days
- 2nd Offense: $25 fine to the listing broker and withdraw of listing after 3 days
- 3rd Offense: $75 fine to the listing broker and withdraw of listing after 3 days
- 4th Offense: $250 fine to the listing broker and withdraw of listing after 3 days; offending agent and broker must attend the next MLS Orientation
UNTIMELY STATUS CHANGE
Description:
Listings must be marked to Contingent or Pending within two (2) business days of the Contract Date. Listings that have closed must be marked as Sold within five (5) business days of the Sold Date. This is a repeat offender rule which means that it tracks how often this rule is violated per agent. Fines associated with repeat offender violations will increase with each rule violation.
Associated notices and fines:
- 1st Offense: courtesy notice
- 2nd Offense: $25 fine to the listing broker
- 3rd Offense: $75 fine to the listing broker
- 4th Offense: $250 fine to the listing broker, and offending agent and broker must attend the next MLS Orientation
BRANDED PHOTOS
Description: Agent-specific or company-specific signage, branding, watermarking, etc. of any kind is prohibited in the photo section of a listing. This is a repeat offender rule which means that it tracks how often this rule is violated per agent. Fines associated with repeat offender violations will increase with each rule violation.
Associated notices and fines:
- 1st Offense: courtesy notice and staff will withdraw branded content
- 2nd Offense: $25 fine to the listing broker and staff will withdraw branded content
- 3rd Offense: $75 fine to the listing broker and staff will withdraw branded content
- 4th Offense: $250 fine to the listing broker and staff will withdraw branded content; offending agent and broker must attend the next MLS Orientation
REQUIRED UPLOADING OF DOCUMENTS
Description: If Covenants, Conditions and Restrictions (CCR in Matrix) is marked as "yes" or if a Master or Community Association is marked "yes" in the listing data, GAR form F322 Community Association Fees, Disclosures and Related Issues (“Disclosure”) Exhibit must be uploaded to the listing’s Supplements under the “Community Asso Disclosure” Supplement Type. If the listing was constructed before 1978, the Lead Based Paint Exhibit must be uploaded to the Lead Based Paint Supplement type in Matrix

INAPPROPRIATE WORDS IN PUBLIC REMARKS & DIRECTIONS - CAUTION
Description: Refer to the Fair Housing Prohibited Terms document for CAUTION words or phrases.
Associated notices and fines: No associated fines, but a courtesy notice may be sent.
INAPPROPRIATE WORDS IN PUBLIC REMARKS & DIRECTIONS - UNACCEPTABLE
Description: Refer to the Fair Housing Prohibited Terms document for UNACCEPTABLE words or phrases.
Associated notices and fines:
- 1st Offense: courtesy notice and staff will withdraw content
- 2nd Offense: $25 fine to the listing broker and staff will withdraw content
- 3rd Offense: $75 fine to the listing broker and staff will withdraw content
- 4th Offense: $250 fine to the listing broker and staff will withdraw content; offending agent and broker must attend the next MLS Orientation
SOLD DATA CHECK FOR SOLD LISTINGS
Description: Listings that are marked sold in MLS will be checked against the sales history in the public records. The sold date in MLS must match the recorded sale date in the public records. This is a repeat offender rule which means that it tracks how often this rule is violated per agent. Fines associated with repeat offender violations will increase with each rule violation.
Associated notices and fines:
- 1st Offense: courtesy notice
- 2nd Offense: $25 fine to the listing broker
- 3rd Offense: $75 fine to the listing broker
- 4th Offense: $250 fine to the listing broker, and offending agent and broker must attend the next MLS Orientation
SOLD DATA CHECK FOR PENDING LISTINGS
Description: Listings that have been pending for longer than 4 months will be checked against the recorded sales in the public records to verify whether or not the listing should have been marked to sold. Listings that have a corresponding sale in the public records that was recorded after the listing date, the listing will be flagged.
Associated notices and fines:
- Notice to correct listing sent to agent
- If not corrected within 3 days, $100 fine sent to listing broker
- If not corrected within an additional 3 days, $500 fine sent to listing broker
- If not corrected within an additional 3 days, staff will refer listing to MLS Board of Directors for further review
NEW CONSTRUCTION LISTINGS
Description: If a New Construction Residential listing is marked as Proposed, Under Construction, or Unfinished, a valid building permit number must be included in the listing. Enter the permit number in the Building Permit Number field under the Structure section of the Residential listing input form.
Associated notices and fines:
- Notice to correct listing sent to agent
- If not corrected within 3 days, $25 fine sent to listing broker
- If not corrected within an additional 3 days, listing is taken off the market by staff
UNNECESSARY USE OF CAPITALIZATION IN PUBLIC REMARKS
Description: If the public remarks fields contains excessive use of capital letters, especially when entire words and entire sentences are capitalized, a courtesy notice may be sent.
Associated notices and fines: No associated fines, but a courtesy notice may be sent.
SIMILAR PUBLIC AND REALTOR REMARKS
Description: If the description in the public remarks field has been copied and pasted into the Realtor remarks field, a courtesy notice may be sent. As a point of information, all listing display types in Matrix will contain the public remarks, so it is not necessary to include the same verbiage in the public remarks and Realtor remarks fields.
Associated notices and fines: No associated fines, but a courtesy notice may be sent.
TEMP OFF MARKET LISTINGS
Description: If a listing has been Temporarily Off Market for longer than 60 days, a courtesy notice will be sent to the listing agent.
Associated notices and fines: No associated fines, but a courtesy notice may be sent.
LISTINGS ACTIVELY IN FORECLOSURE
Description: A listing that is marked "Actively in Foreclosure" in property records must also be marked as such in the Special Listing Conditions section in Matrix (Foreclosure, REO, Auction, etc).
Associated notices and fines:
- Notice to correct listing sent to agent
- If not corrected within 3 days, $25 fine sent to listing broker
- If not corrected within an additional 3 days, listing is taken off the market by staff
LOCKBOX NOT ASSIGNED TO LISTING
Description: Any active or contingent listing must carry a SentriLock Bluetooth lockbox, and this lockbox must be assigned to the listing using the "Assign a SentriLock Lockbox" tool under the Matrix Modify Listing screen. All listings that have "Yes" marked for "SentriLock Y/N" must have a corresponding lockbox serial number.

- Notice to correct listing sent to agent
- If not corrected within 3 days, $25 fine sent to listing broker
- If not corrected within an additional 3 days, listing is taken off the market by staff
LOCKBOX ADDENDUM NOT UPLOADED TO LISTING
Description: If the seller has refused a SentriLock lockbox or if your listing is a special condition listing (foreclosure, auction, REO, etc.), the listing will not be required to carry a lockbox; however, a Lockbox Authorization Addendum signed by the seller must be uploaded to the "Lockbox Authorization Addendum" Supplement Type in MLS.

- If not corrected within 3 days, $25 fine sent to listing broker
- If not corrected within an additional 3 days, listing is taken off the market by staff
AGENT REPORTED VIOLATION
Description: This is an undefined rule that allows a Matrix user to notify GIMLS staff of a violation by a fellow agent that may not be related to a listing in Matrix but could still relate to a violation of our rules and regulations.
Associated notices and fines: The associated notices and fines will be defined by the violation itself.
BRANDED VIRTUAL TOURS
Description: Any agent-specific or office specific branding or contact info is prohibited in all public-facing fields including, but not limited to, public remarks, directions, unbranded virtual tours, etc. This is a repeat offender rule which means that it tracks how often this rule is violated per agent. Fines associated with repeat offender violations will increase with each rule violation.
Associated notices and fines:
- 1st Offense: courtesy notice and staff will withdraw branded content
- 2nd Offense: $25 fine to the listing broker and staff will withdraw branded content
- 3rd Offense: $75 fine to the listing broker and staff will withdraw branded content
- 4th Offense: $250 fine to the listing broker and staff will withdraw branded content; offending agent and broker must attend the next MLS Orientation
CONSTRUCTION NOT STARTED IN 90 DAYS
Description: Proposed New Construction Listings added to the Residential section of MLS must begin construction within 90 days of submission to MLS. If the listing has begun construction, the listing agent must update the New Construction Description to something other than "Proposed." If the listing has not begun construction after 90 days, the listing must be withdrawn from the market immediately. Fines associated with repeat offender violations will increase with each rule violation.

- 2nd Offense: $250 fine to the listing broker
- 3rd Offense: $500 fine to the listing broker
- 4th Offense: $1000 fine to the listing broker; offending agent and broker must attend the next MLS Orientation
